The use of tickets

The National Rail conditions of carriage apply to rail travel in the UK.

These contain limits and exclusions relating to the liability of the train companies in respect of loss caused by the delay and/or cancellation of any train, by any missed connection or by the closure of the railway, as well as in respect of loss or damage to and delay in the delivery of luggage and its contents.

If you cannot produce a valid ticket for the class of accommodation and service that you are using you will have to pay the appropriate fare and a penalty fare may also be payable.

2. National Rail conditions of carriage terms and conditions

When you buy a ticket to travel on the railway network you enter into an agreement with the Train Companies. That agreement gives you the right to make the journey, or journeys, between the stations or within the zones shown on the ticket you have bought. These National Rail Conditions of Carriage are also part of that agreement and they apply to all domestic (non-international) journeys by scheduled passenger train services of the Train Companies on the railway network of Great Britain.

These National Rail Conditions of Carriage set out your rights and any restrictions of those rights. The Train Companies may give you more extensive rights than those set out here; they may not give you less unless, in the case of some types of reduced and discounted fare tickets, a Condition specifically allows for this. The National Rail Conditions of Carriage therefore set out the minimum level of service you are entitled to expect.

A Train Company's ticket office staff will give advice about tickets, and any restrictions concerning their use, on an impartial basis unless the point of sale is dedicated to the sale of one Train Company's tickets.

3. Season Tickets terms and conditions

Using your Season Ticket

  1. Your Season Ticket can be used until its expiry date (inclusive) for any number of journeys between the stations and/or within the zone(s) shown on it at any time. It may be used at intermediate stations, and on any permitted route, unless a route or any other restrictions are specified on the ticket. Details are available where these tickets are issued.

  2. With First Class Season Tickets you may travel in First Class or Standard accommodation. Standard Season Tickets are for travel in Standard accommodation only. An excess fare may be paid by holders of Standard Season Tickets to travel in First Class accommodation, at the ticket office before boarding the train (or on the train if there is no open ticket office where you board the train).

  3. Within the Travelcard area, Travelcard Season Tickets provide unlimited travel, at any time on National Rail, London Underground, Docklands Light Railway, Croydon Tramlink and most London bus services. For journeys from outside the Travelcard area the Travelcard Season Ticket allows travel by rail between the starting station and the Travelcard area boundary, and then unlimited travel within the zones purchased.   4. You cannot transfer your Season Ticket to another person.

Photocards

  1. You require a Stagecoach South Western Trains Limited or Transport for London photocard to buy most Season Tickets. These are issued free of charge from ticket offices. You must provide a recent passport-type photograph of yourself.

  2. Where required your photocard number must be on your Season Ticket. Both your Season Ticket and photocard with matching numbers must be shown, if requested by rail staff, for your Season Ticket to be valid.

Changeovers

  1. If you move house, change your place of employment or wish to change the class of travel you may apply to exchange any Season Ticket with a month or more remaining, for one with the same expiry date for your new journey or class. A changeover may be applied for at any rail ticket office (preferably one relevant to the new journey), a few days in advance of the date of the change. Any additional charge or refund will be based on the ticket prices when the original Season Ticket was purchased, pro rata to the periods before and after the changeover. No administration charge is made. Any ticket that has already been issued in exchange for another may be accepted subsequently for further exchanges.

Refunds

  1. If you cease travelling and no longer need your Season Ticket, please hand it in at, or post it to, the ticket office where it was issued.

  2. Any refund will be calculated from the date it was handed in. It will be the difference between the price you paid and the cost of a ticket or tickets for the period for which you have actually used the ticket, plus an administration charge (see later). Because of the discounts on longer term Season Tickets, refunds are not made pro rata to the periods before/after surrender and Annual Season Tickets have no refund value after about 10 1/2 months. For this reason we recommend that employers’ Annual Season Ticket loan schemes are set up so that reimbursements are made in 10 equal monthly payments, with two “free” months at the end of the year, rather than in 12 equal monthly payments.

  3. There must be at least 7 days remaining on a Monthly Season Ticket or at least 3 days remaining on a Weekly Season Ticket to obtain a refund (although on some Weekly Season Tickets there may be no refund value after 3 days of use, dependent upon the appropriate Anytime Day Return price).

  4. In cases of illness the refund can be backdated on production of suitable documentary evidence for a period prior to the ticket’s surrender, provided that you have not resumed travelling using your Season Ticket since your illness.

  5. Refunds are not made for periods of non-use e.g. holidays and extensions are not given. Refunds are also not normally made on duplicate Season Tickets – consideration will, however, be given on production of written evidence of redundancy, prolonged illness or similar circumstances or if the original ticket is recovered and returned to the issuing ticket office within one month of its loss. Please enquire at the ticket office for more details.

Lost or stolen Season Tickets or photocards

  1. Should you lose your Season Ticket or have it stolen, report this immediately to the ticket office where it was issued. If you or we cannot recover the lost or stolen ticket we will then consider an application for a duplicate ticket, if the original was issued for a period of one month or more. No duplicates are issued in respect of lost or stolen Weekly Season Tickets. We may ask you or others for information. There is an administration charge when a duplicate Season Ticket is issued (see later)

  2. Only one replacement will normally be allowed in respect of any lost season ticket. However, a second replacement will usually be allowed if:-

    1. the original season ticket is returned to the Train company which sold it within one month of it having been notified of the loss; or
    2. the first or second request for a duplicate arose as a result of theft, robbery, fire or other exceptional circumstances the facts of which have been reported to the police, the fire service or another appropriate body.

    No more than two duplicate season tickets will be issued in any twelve month period in any circumstances.

  3. A refund (no administration charge) will be made on tickets purchased for your journey while you are waiting for the duplicate to be issued, if these tickets are handed in.

  4. If you lose or have your photocard stolen we can issue a new one, for which a further photograph is required. If this necessitates your Season Ticket being reissued an administration charge will be made.

Damaged or defective Season Tickets

  1. If your Season Ticket is damaged, illegible or defective e.g. it ceases to operate ticket gates, it will be replaced free of charge at the ticket office where it was issued or at any other rail ticket office.

Travel not covered by your Season Ticket

  1. Please purchase the appropriate additional ticket at the ticket office before travelling, if your Season Ticket has expired, does not cover your journey in full, has been left behind (see later), or is for Standard accommodation but you wish to travel First Class.

  2. If travelling from a penalty fare station on a penalty fare train and your Season Ticket does not cover you for your entire journey you MUST purchase an accompanying rail ticket or permit to travel, if able to do so*, before commencing your journey. If you do not you may be liable to a penalty fare, which is £20 or twice the appropriate full single fare to the next station which the train calls (whichever is greater). If travelling from a non penalty fare station on a non penalty fare train and if your Season Ticket does not cover you for your entire journey you MUST purchase an accompanying rail ticket or permit to travel, if able to do so*, before commencing your journey. If you do not you may have to pay either the full single or return fare for the journey covered.

Season Tickets left at home

  1. Applicable on Season Tickets valid for one month or longer. If you do not have your Season Ticket with you when you travel you must buy a rail ticket for your journey. You will be able to get a refund on the fare paid, on the first two occasions this happens in any 12 month period. On the second such occasion an administration charge will be made (see below). No more than two such refunds will be made in any 12 month period. The tickets purchased will need to be handed in. Refund claims of this type should be made within 28 days of travel. Administration charges associated with Season Tickets:

    • Refunds £5
    • Duplicates for lost or stolen tickets £10
    • Replacement of Season Ticket where new photocard issued £5
    • Replacement of damaged or illegible Season Ticket Free

    These charges are subject to revision.

4. Gold Service terms and conditions

Gold Service membership is available for Annual Season Tickets holders aged over 16 who buy their tickets at South West Trains outlets and use our services.

Annual Season Ticket holders.

* These benefits apply only to travel within the Network Railcard area. For details of this area, see the Network Railcard leaflet. Discounted All Zones Day Travelcards can only be issued for accompanying adults and/or children if your Gold Card has been issued to All Zones or the Gold Card holder has purchased a discounted All Zones Travelcard. Network Railcard conditions applies to the use of Gold Card Partners Cards, including minimum fare. For Standard Gold Card holders, upgrades are not available on Mondays to Fridays (except Bank Holidays) wholly or partly over the route covered by the Gold Card unless the separate discount ticket for the whole journey being undertaken has been purchased for use by the Gold Card Holder. Free tickets issued within our Gold Service programme are not provided for Travelcard Season Tickets, with the exception of All Zones Travelcard Season Tickets.

One third discount on off-peak travel for Gold Card holders – conditions specific to Gold Card holders

  1. There is no discount on First Class fares even if the Gold Card is First Class.

  2. Annual Gold Card holders purchasing discounted Off-Peak Day Travelcards for accompanying adults or children, must however purchase one for themselves if their Annual Gold Card is not valid for travel in all the Travelcard zones.

First Class upgrade for Gold Card holders

  1. First Class upgrades are not available on services operated by Great North Eastern Railway, First Great Western Trains, Midland Mainline, or some Virgin Trains services.

  2. The upgrade should normally be purchased before the start of the journey but where there is no open ticket office where you board the train it may be purchased on the train.

  3. The price of £5 (£2.50 for children aged 5-15 ) is for a Anytime Single or Day Return journey. If the return journey is made on another day a further upgrade must be purchased for each person travelling.

  4. Upgrades are available (as with discounted tickets) from 1000 Mondays to Fridays and at any time Saturdays, Sundays and Bank Holidays.

  5. Upgrades are not valid on trains departing from any London terminal station, or intermediate stations between London and Clapham Junction inclusive, between the hours of 1600 and 1900 from Mondays to Fridays (except Bank Holidays).

  6. For Standard Gold Card holders, upgrades are not available on Mondays to Fridays (except Bank Holidays) wholly or partly over the route covered by the Gold Card unless a separate discounted ticket for the whole journey being undertaken has been purchased for use by the Gold Card holder. This requirement does not apply to First Class Gold holders. On Saturdays, Sundays and Bank Holidays, Gold Card holders may buy upgrades for themselves for travel wholly on a journey covered by the Gold Card, without having to buy a separate discounted ticket.

5. Advance fares terms and conditions

Advance tickets are Single (one-way) tickets for selected journeys available in First Class and Standard, offering the best available price for each journey. These conditions are additional to the National Rail Conditions of Carriage.

1. Availability

Tickets must be purchased in advance of travel, subject to availability. Book as far in advance as possible to get the cheapest fares.

  • There are 35,000 reduced price fares across the whole South West Trains network every week
  • There are 4 tiers of reduced pricing for advance tickets
  • The cheapest price available applies to the first 16.2% of all 35,000 tickets, the second tier applies to the next 16.6%, the third tier applies to the next 29.4% and the fourth tier applies to the final 37.8% of the available tickets
  • All tiers including the fourth tier are at a reduced price
  • Once all 35,000 weekly reduced price advance tickets are sold out, standard fares will apply
  • Any unsold advance tickets in any week will not be carried over into the subsequent week 

2. Discounts

Standard : Child discounts, 16-25, Family & Friends, Senior, HM Forces and Disabled Persons Railcards discounts apply.

First Class : Child discounts, Senior, HM Forces and Disabled Persons Railcards discounts apply. In addition a 16-25 Railcard discount is available on Advance tickets for First Class travel on CrossCountry, East Midlands Trains, First Great Western, National Express East Coast and Virgin Trains services.

3. When and where the ticket can be used

Tickets are valid ONLY on the date and train service(s) shown on the ticket(s). Where applicable, you must travel in the Class and reserved seat(s) shown on the ticket(s). Tickets may only be used on the services of the Train Company (or geographic route where applicable) shown next to 'Route' on the ticket. If the 'Route' also states 'and Connections', travel is allowed on appropriate connecting trains where shown on the ticket(s) or other valid travel itinerary. If the route is prefixed with a , the ticket includes the cost of travelling across London on London Underground, Docklands Light Railway or First Capital Connect (Thameslink Route) services as appropriate to the journey.

4. Conditions of use

You must be at the departure station shown on the ticket in good time to catch the train. If you miss the first train on which you are booked for any reason, a new ticket must be purchased. If delays occur while travelling, you will be allowed to take the next available train(s) to complete your journey. Railcard holders travelling on a discounted ticket must carry their Railcard when they travel. If a Railcard holder fails to produce a valid Railcard with their ticket, a new ticket must be purchased as if no Railcard and/or no ticket were held. First Class Advance tickets do not always grant access to First Class Lounges at stations. Please check with the train company you are travelling with to confirm policy at specific stations.

5. Break of journey

You may not start, break and resume, or end your journey at any intermediate station except to change to/from connecting trains as shown on the ticket(s) or other valid travel itinerary.

6. Changing the time or date of travel

Changes to time or date of travel must be arranged before departure of the first reserved train printed on the ticket, after which the ticket has no value and a new one must be purchased. You will need to present the ticket(s) and reservation(s) when you request a change. Changes to tickets cannot be made on-board the train. If you board a train without a ticket and reservation for that service, a new ticket must be purchased.

The origin, destination and Train Company or route shown on the ticket(s) must remain the same. The difference between the price paid and cost of the next suitable fare for your journey is payable, plus a £10 administration fee per person, per single ticket for each change to a journey. If you change to a train on which a cheaper fare is available, the difference will not be refunded.

7. Refunds

Your ticket is non-refundable. If the train you purchased a ticket for is cancelled or delayed by more than 60 minutes, special arrangements will be made to accommodate you on another train (although a seat cannot be guaranteed). If, as a result, you decide not to travel, a refund will be offered on completely unused tickets and you will not be charged an administration fee.

6. GroupSave terms and conditions

  1. GroupSave is available for groups of three or four people travelling together.

  2. Passengers will be charged no more than the equivalent cost of two full price adult fares for any appropriate combination of adults and children when travelling together.

  3. Up to four additional children accompanying the GroupSave party can travel for £1 each.

  4. GroupSave is not available to destinations west of Exeter St Davids.

  5. Passengers must always travel together on both outward and return journeys.

  6. GroupSave discounts apply to Off-Peak Day, Off-peak and Super Off-Peak Day Travelcards, Network AwayBreak and Off-Peak tickets only and cannot be secured in conjunction with any other offer.

  7. Travel time restrictions apply which are the same as the normal ticket restrictions being discounted.

  8. Date restrictions may apply.

  9. Discounts on Off-Peak Day Travelcards are only available when bought outside of London Fare Zones 1-6.

  10. GroupSave cannot be used in conjunction with other Railcard discounts or other train company special offers.  It may also not be available on other non-rail services.

7. First Class upgrade terms and conditions

  1. The First Class upgrade is valid on South West Trains First Class services on Saturdays, Sundays and public holidays, subject to availability.

  2. The First Class upgrade is only available for single journeys. on the day of travel and can be bought on the train from the guard by the holder of any valid rail ticket.

  3. Holders of all rail tickets (except Advance fares and those travelling on selected special promotions) may buy the upgrade.

  4. The First Class upgrade is not transferable to another passenger or for use on another service.

  5. The First Class upgrade will not be discounted for children or Railcard holders.

  6. The First Class upgrade may not be available during times of engineering works.

8. Competitions terms and conditions

  1. Only one entry per household is accepted.
  2. Postal entries must be submitted on a seperate postcard, combined entries will not be accepted.
  3. All entries must be accompanied by your title, name, surname, address and postcode.  If all this information is not included on your entry, you will not be eligible to enter the competition.
  4. The winners will be selected at random from those who have submitted correct answers.
  5. Winners will notified within two weeks of the closing date and their names may be published in future issues of e-motion or on this website.
  6. Proof of website submission will not be accepted as proof of delivery and no responsibility is accepted for entries which are unsuccessfully submitted via the Internet
  7. The judge's decision is final and no correspondence will be entered into.
  8. No cash alternatives are available

9. Kids' Zone terms and conditions

  1. Maximum age of entry is 18.
  2. You must include your name, surname, address, postcode, age and date of birth on your entry.
  3. Children under 12 years old must include written permission from a parent or guardian with their entry.
  4. It is our policy not to send Stagecoach South Western Trains Limited or third party information to under 18s.
